Translations & Apostilles: A Step-by-Step Guide (and Helping Fellow Affiliates!)

This week, we’re diving deep into a valuable service that can significantly expand your offerings, boost your revenue, and strengthen our affiliate community: translation services for apostilles.

Understanding the Need

Most of you are already familiar with apostilles, and many of you are apostille agents yourselves. However, it’s worth revisiting this topic to explore how it intersects with translation services. 

When a document needs to be used in a foreign country, it often requires both translation and an apostille. This presents a unique opportunity for you to provide a comprehensive solution for your clients.

A Real-World Example

Let’s say a client needs an FBI background check apostilled for use in Poland. The Polish authorities don’t accept English-language documents. 

By partnering with Idiomatic, here’s how the process works, step-by-step:

  1. Translation: First, the FBI background check needs to be translated into Polish. A high-quality scan of the document is sufficient for this step.

    You can order the translation through your affiliate link, as you would normally request any other translation through Idiomatic.
  2. Notarization: Next, the translation (not the original document) needs to be notarized.

    How is that done and who notarizes what?

    The notarization is of the translation, not the original document. Simply, the translation company representative or translator (that is to say, Idiomatic), will sign before a notary attesting to the fact that this translation has been accurately translated to the best of their knowledge according to the original document by professional translators fluent in the source and target languages.

    Important Note: The client doesn’t need to be present for this notarization, as it solely focuses on verifying the translation’s accuracy.

    This is where our affiliate community comes in! If you’re a notary, you can notarize the translation yourself. If not, we can connect you with a trusted notary within our network.

  3. Apostille: Finally, the notarized translation is submitted to the Secretary of State for apostille certification. Remember that each state has its own specific requirements and procedures for apostilles.

How We Can Help (and Make You Money!)

  • You conduct RON signings: If you’re a RON-certified notary and are requesting the translation on behalf of your client, we can appear before you virtually to sign the affidavit for the translation, and you can notarize it remotely.

    As a perk for our affiliate community, we waive our fee for this service. You simply charge your client for the RON notarization.

    The same holds true if you want a trusted colleague to conduct the notarization. As long as the notarization itself is paid for from your client to you, we do not charge any fee to appear during the signing.
  • We organize RON signings: If you’re not a RON notary, we will conduct the signing with a trusted RON notary within the Idiomatic affiliate community.

    We go down our list of RON-certified affiliates in order, ensuring everyone gets a fair chance to participate. If we haven’t gotten to you yet, hold tight!

    In this case, we will charge you, given that we must pay the notary. But, remember, you will still receive commission for that notarization.
  • You are in a non-RON state: For states where RON isn’t allowed (we see you, California affiliates!), Idiomatic has company agents in most who can physically notarize documents there and ship them out to you.

    California is our most recent addition, and we can currently do the same in Massachusetts, Georgia, and North Carolina.
  • Apostille Coordination: We’re building a nationwide network of apostille agents within our affiliate community. If you don’t handle apostilles yourself, we will handle your request through another affiliate, and you’ll earn a commission on the translation, notarization, and apostille.
