As our affiliate network grows, we regularly get questions about how the notarization process works when you place a translation order on behalf of a client.
Specifically: Who signs what, who acts as the notary, and how do fees work?
Today, we are lifting the curtain on our Remote Online Notarization (RON) workflow.
Understanding these options will help you save money, streamline your orders, and leverage your own notary commission for maximum profit.
Understanding the Setup: Who Is Signing What?
When Idiomatic completes a certified translation that requires notarization, our authorized representative signs the official Translation Certification Coversheet (the Statement of Accuracy).
A Notary Public must then witness our representative’s signature and apply a notary seal.
Depending on your credentials and workflow, you have three distinct ways to handle this notarization when placing an order:
Option 1: You Act as the RON Notary (Zero Extra Cost from Idiomatic)
If you are a commissioned Remote Online Notary (RON), you can act as the notary who attests to our translator’s signature on the coversheet!
- How it works: You provide the RON platform and your official notary seal. We meet you on your platform, and our authorized representative signs our translation certification coversheet in your presence.
- The Cost: $0 extra from Idiomatic. We facilitate this setup at absolutely no additional cost to you.
- Your Benefit: You keep 100% of your notary fee, avoid paying us a notarization surcharge, and maintain full control over the client’s final document package.
Option 2: Idiomatic Provides the RON Notary (Fee Applies)
If you are not RON commissioned (or prefer a completely hands-off experience), Idiomatic can handle the entire notarization process for you.
- How it works: We coordinate the RON session internally and supply a fully RON-notarized translation coversheet upon delivery.
- Why there is an added fee: We must hire and pay an independent, third-party RON notary for their services, in addition to covering the administrative time required to organize and execute the signing session.
Option 3: Use a Trusted Colleague for the RON Session
What if you aren’t RON commissioned yourself, but you have a trusted local colleague or business partner who is?
- How it works: You can arrange a RON signing session between Idiomatic’s representative and your colleague. You pay your colleague directly according to your own business arrangement, and our representative will join the session to sign off on the translation coversheet.
- The Cost from Idiomatic: $0 extra. Just like Option 1, as long as you or your partner provide the RON platform and notary, we sign at no additional fee.
