Today, we are talking about Guardrails.
Specifically, the single most critical quality control check that prevents delays, protects your reputation, and ensures your client’s documents are accepted legally abroad.
The Challenge: When Names Don’t Translate
Translating common names between languages that share the Latin alphabet (like English to Spanish or French) is straightforward. “John Smith” remains “John Smith.”
The entire game changes, however, when you deal with documents in non-Latin scripts, such as Russian (Cyrillic), Arabic, Chinese, Greek, Japanese, or Hebrew.
In these languages, a name can be transliterated (written in Latin characters) in multiple ways. For example, the common Russian name Евгений could be spelled:
- Evgeniy
- Evgeny
- Yevgeniy
- Yevgeny
If our translator chooses ‘Evgeny’ but your client’s passport is spelled ‘Evgeniy,’ the consulate will reject the entire application.
That is a nightmare for your client and makes you look unprofessional.
The Solution: The “Preferred Spelling” Rule
As an International Document Specialist, you are responsible for bridging this gap during the intake process.
You must ensure our certified translators know exactly how names should be spelled before they begin.
Your 10-Second Reputation Guardrail:
When taking an intake form for a document involving a non-Latin script, you must add one final question to your 3-sentence script from last week:
Sentence 4 (The Guardrail): “For any names written in a non-Latin alphabet (e.g., Russian, Arabic), can you please provide the preferred spelling in English for every person named, exactly as it appears on their legal ID or passport?”
By asking this one simple question, you transition from being a simple ‘referrer’ to a comprehensive ‘workflow specialist’ who anticipates problems before they happen.
Your Action Item This Week 🚀
This week, update your client intake checklist or cheat sheet. Add a new checkbox: [] Preferred Name Spellings (for non-Latin scripts) confirmed with client.
If you get an inquiry for a Russian, Arabic, or Chinese translation, do not place the order until you have those spellings in hand. It is better to have a 5-minute delay during intake than a 2-week delay later.
